Freelance Invoice Template

A freelance invoice only needs to do two things well: make it obvious how much is owed and by when, and give the client everything they need to pay you without emailing back to ask.

What belongs on it

  • Your legal or business name, plus an email and phone number the client can actually reach you at
  • A unique invoice number. Sequential numbering (INV-001, INV-002…) is enough for most freelancers; it matters mainly so you and the client can both refer to the same invoice later
  • Issue date and due date, not just one date — “due on receipt” is vague and tends to get deprioritized against invoices with an actual deadline
  • A description per line item specific enough that the client remembers what it was for three weeks later — “Website work” is worse than “Homepage redesign, 2 rounds of revisions”
  • Your payment details or preferred method — e-transfer email, PayPal.me link, or bank details — on the invoice itself, not in a separate email

Common mistakes

Vague descriptions. If a client has to ask “what was this for again?”, that’s a day or two of delay you didn’t need. Be specific enough that the invoice is self-explanatory.

No due date. “Payment due on receipt” puts zero pressure on anyone. A concrete date (and a late-payment term, even an informal one) gives the client a real deadline to plan around.

Mixing currencies without saying so. If you bill in USD but operate in Canada (or vice versa), say which currency explicitly — don’t make the client guess from context.

Forgetting tax, where it applies. If you’re a GST/HST registrant, the tax has to be shown as its own line with the correct label — see the GST invoice template and the GST/HST registration guide if you’re not sure whether that applies to you yet.
